Responsibilities

Priorities can often change in a fast-paced environment like ours, so this role includes, but is not limited to, the following responsibilities:

Document Organization and Taxonomy:

  • Develop and implement a robust system for organizing documents, considering not only their current state but also their lifecycle.
  • Create a well-defined taxonomy that aligns with our business processes, making document retrieval efficient and intuitive.

Version Control and Change Management:

  • Oversee document versions, track changes, and maintain a clear audit trail.
  • Collaborate with cross-functional teams during document updates, ensuring smooth transitions and minimal disruptions.

Project/Program Integration:

  • Work closely with project/program managers to integrate document management into project lifecycles.
  • Ensure that project teams have timely access to relevant documents, reducing bottlenecks and enhancing decision-making.

Collaboration and Workflow Optimization:

  • Facilitate collaboration by streamlining document sharing, approvals, and feedback loops.
  • Identify opportunities to optimize workflows, reducing manual effort and enhancing productivity.

Risk Mitigation and Contingency Planning:

  • Assess risks related to document management (e.g., loss of critical documents, unauthorized access).
  • Develop contingency plans to safeguard against potential disruptions.

Training and Change Adoption:

  • Train employees on document management best practices, emphasizing the importance of adherence.
  • Champion change management initiatives related to document processes.

Metrics and Performance Tracking:

  • Define key performance indicators (KPIs) for document management effectiveness.
  • Regularly evaluate performance against KPIs and make data-driven improvements.

 

Requirements

Essential Skills and Experience:

Qualifications:

  • Education: Bachelor’s degree in Business Administration, Computer and Information Science or a related field.
  • Experience: Preferable 2 years in document management.

Project Management Skills:

  • Familiarity with project lifecycle phases (initiation, planning, execution, monitoring, and closure).
  • Ability to create project schedules, allocate resources, and manage risks.

Technical Skills:

  • Proficiency in document management software (e.g., SharePoint or similar).
  • Familiarity with metadata standards and indexing.
  • Knowledge of electronic document storage and retrieval.
  • Understanding of data privacy and security.

Soft Skills:

  • Communication and Collaboration
  • Excellent communication skills to bridge gaps between technical teams, stakeholders, and project managers.
  • Collaborative mindset to align document management with project goals.

Attention to Detail and Adaptability:

  • Meticulous attention to document accuracy, consistency, and metadata.
  • Adaptability to handle evolving project requirements and changing priorities.
  • Ability to prioritize tasks and meet deadlines.

Language Requirements:

  • Required fluency in English and optional Spanish, is essential for effective communication within our diverse team and with external stakeholders.

Additional Information:

  • This role reports to the Project/Program Manager.
  • Office-based position with remote work opportunities.
